Score every option on the same criteria

1. Audience fit

Consider workplace culture, age range, language, participation comfort, accessibility and whether partners or families attend.

2. Room fit

Confirm stage or floor space, ceiling height, sightlines, sound, lighting, power, load-in access and venue restrictions.

3. Schedule fit

Ask for the true running time and ideal placement. A feature act should not compete with dinner service, speeches or open networking.

4. Tone fit

Discuss content boundaries clearly. “Corporate-friendly” should mean material appropriate for your organization and guests.

5. Delivery fit

Review communication, written terms, technical needs, travel arrangements, insurance where required and a realistic contingency plan.

Questions worth asking before you book

  • What does the audience experience from start to finish?
  • Which parts are interactive, and can participation remain comfortable and voluntary?
  • What are the exact room and technical requirements?
  • Who supplies sound, microphones, lighting and onsite technical support?
  • Are travel, taxes and overtime included in the quote?
  • What happens if the date, venue or attendance changes?
  • Can the supplier provide a written agreement and one clear day-of contact?

Compare total value

Price matters, but compare what is included: preparation, travel, production, experience, customization and the amount of organizer time required. A low quote that leaves essential pieces unassigned may not be the lowest total cost.

Protect the guest experience

Do not force audience participation, hide important content expectations or place a visual act where guests cannot see. Clear planning is part of the entertainment.

For each finalist, record audience fit, room requirements, total cost, included services, content comfort, schedule placement and cancellation terms. The best choice should remain convincing when the options are compared side by side.
